Contracts and Rights Assistant
Candlewick Press seeks an enthusiastic individual to join our talented team in the role of Contracts and Rights Assistant. This position will be responsible for a variety of administrative support tasks within the Contracts, Rights, and Royalties Department.

Responsibilities include but are not limited to the following:

- Register copyrights for Candlewick, Walker and Walker Books Australia books with the US Copyright Office
- Prepare rights sold notifications for bookclub, audio, video, and foreign rights deals and send complimentary copies of licensed editions to Candlewick authors, illustrators, and agents
- Track the receipt and sending of licensed complimentary copies
- Prepare materials for subrights presentations (e.g., compiling and printing TI sheets, creating grids, preparing proofs and other materials, etc.)
- Monitor proof deliveries, log in, label, and review proofs of licensed editions received from licensees for accuracy before distribution, and maintain samples library
- Create the complimentary copy report monthly for authors/illustrators/agents
- Become familiar with CP author/illustrator head contracts
- Become familiar with the Biblio database
- Research contractual rights on an as-needed basis
- Mail signed subsidiary rights contracts to Walker and Walker Books Australia as appropriate for their originated titles.
- In coordination with the Subsidiary Rights & Royalties Manager: assist with the preparation of free of charge permissions licenses as needed; track duplicate film orders and invoice; manage receipt of all advance copies and sales materials
- Maintain title lists with the group's piracy service provider and communicate any issues.
- File departmental documents (e.g., subsidiary rights contracts, permissions agreements, royalty statements from licensees, etc.)
- Complete tasks, special projects/reports for the department as needed


The ideal candidate will have a friendly, professional, and poised demeanor and will possess the ability to: perform efficiently under pressure; work both independently and as part of a team to complete assignments efficiently; and work in a fast-paced environment comfortably.

Great attention to detail, outstanding verbal and written communication skills, the ability to multi-task and prioritize, excellent concentration, an aptitude and appreciation for systems and processes, and proficiency with Microsoft Office are necessary. Prior experience with databases is strongly preferred. Candidate must be a quick learner and be resourceful, extremely organized, proactive, and a strong team player. An interest in children's trade publishing and contracts and rights specifically is strongly preferred.
